Eventflow vs FFAIR

FFAIR is a strong exhibitor management platform, particularly for e-commerce. Eventflow focuses on the wider participant journey, managing exhibitors, sponsors, speakers and more through tailored workflows, flexible forms and team collaboration. With a fully white-labelled experience and built-in AI assistant, Eventflow is the stronger fit for organisers prioritising operational efficiency and participant experience.

Use forms for forms — not a growing hierarchy of tasks

FFAIR can collect structured data through Task response types and Multitask. That works well for straightforward workflows. As requirements become more complex, however, the logic is built through parent tasks, child tasks and conditional follow-ups. Eventflow keeps the concepts separate: a task tells someone what they need to do; a form collects the information.

Eventflow’s drag-and-drop form builder works more like Jotform or Google Forms: build fields, conditional logic, uploads, notifications and exports without developer work. Link a form to a task when you need it, or paste in an external form from GES, Jotform, SmartSheet or another provider if you prefer to keep it where it is. Self-service webhooks can send form data to third-party systems, so you do not need to wait for us to build every integration.

AI that works from day one — and improves the manual

Eventflow AI is native to the platform. There is no separate bot to choose, connect, brand or train. It works from the content already in your event portal, including eligible PDFs uploaded to Downloads. From the moment the manual is live, participants can ask questions in plain English – or any other language! A large energy trade show in Hamburg recently recorded questions in over nine different languages from Turkish to Korean, Japanese to German.

The bigger difference is what happens when the AI cannot answer. Eventflow tells the participant to contact the organiser, records the unanswered question and reports those gaps back to the event team. Add the missing information to the manual and the assistant becomes more useful: a full feedback loop between participant questions and better content. FFAIR can embed third-party AI or live chat, but creating the same event-specific insight loop depends on the external tool and how it is configured.

A participant platform first. Commerce only when it adds value.

FFAIR’s e-commerce model is one of its clearest strengths. Its Shop brings multiple suppliers into one checkout and its current public Pro pricing lists an 8% per-transaction platform fee, inclusive of Stripe fees. If monetising supplier orders is central to your model, that is a coherent proposition.

Eventflow takes a different approach. The portal is there to help participants get event-ready, not to make supplier checkout the centre of the experience. Use the supplier directory to signpost trusted partners, share digital assets, make downloadable PDFs searchable by the AI, collect orders or requests with forms, or embed a third-party supplier workflow. Several UK organisers we speak to are wary of adding another 8% to exhibitor costs in an already price-sensitive market, and larger organisers have also raised payment-reconciliation concerns.

Eventflow lets you choose the workflow without forcing your operating model around a shop.

Why Eventflow is the better fit for participant operations

Choose FFAIR if a multi-supplier shop and commerce-led workflow are strategic priorities. Choose Eventflow if you want one branded operational layer for exhibitors, sponsors, speakers and other participants; powerful drag and drop forms and integrations your team controls; team collaboration; native AI; supplier and asset signposting; and the freedom to work with the rest of your event-tech stack. Everything feels like your event, from the domain and colours to the imagery and authenticated send-from email address.

Frequently asked questions

Is FFAIR mainly an e-commerce platform?

FFAIR is more than e-commerce: it has Tasks, Show Info, reporting and stakeholder portals. But its own product positioning gives the Exhibitor Shop a prominent role alongside the manual and task workflow. Eventflow is centred on participant operations rather than supplier checkout.

How are Eventflow forms different from FFAIR Tasks?

FFAIR collects responses inside Tasks, including Multitask workflows made from subtasks. Eventflow has a separate drag-and-drop form builder, so tasks and data collection can be designed independently and linked together when needed.

What transaction fee does FFAIR publish?

FFAIR’s current public Pro pricing states an 8% per-transaction platform fee, inclusive of all Stripe fees. Before choosing the shop, confirm the commercial model, who bears that cost and how payments, supplier invoices, commission and reconciliation will work for your finance team.
