BTC Prague is Europe’s largest Bitcoin-only event, bringing together leading voices from across the industry and strengthening connections throughout the European and international Bitcoin community.

With thousands of attendees, more than 100 partners and over 250 speakers, delivering the event involves significant operational complexity. For the team behind BTC Prague, providing partners with a professional, well-organised experience is an important part of delivering the event successfully.

From Spreadsheets and Emails to a Central Operational Hub

Before introducing Eventflow, the BTC Prague team managed event operations through a combination of Google Sheets and email.

As the scale and complexity of the event grew, so did the administrative demands involved in managing information, requirements and communications across more than 100 partners.

The team began looking for a more efficient way to manage production and partner relations. Having considered a number of potential solutions, Eventflow stood out for its ability to address more of the team’s requirements within a single platform.

The objective was straightforward: simplify event operations while making life easier for partners preparing for BTC Prague.

Rather than relying on information distributed across emails and spreadsheets, the team wanted to provide partners with a single knowledge base where they could access the information they needed to successfully prepare for the event.

The Solution: One Place for Partner Operations

Eventflow was introduced for BTC Prague in 2025, providing the team with a central operational hub for event information and partner management.

Bringing information and processes together significantly reduced the volume of emails required in the run-up to the event, while giving partners a clearer and more professional way to manage their requirements.

For larger partners in particular, where operational requirements can be more complex, this provided an important improvement. Instead of spending as much time administering information and responding to routine enquiries, the BTC Prague team could focus more attention on partner support and account management.

Positive feedback from partners flowed organically, providing the team with an additional indication that the new approach was improving the partner experience as well as internal operations.

The Results: Greater Efficiency and More Time for Higher-Value Work

The impact of centralising partner operations was significant.

The BTC Prague team estimates that Eventflow has given the wider team approximately one day a week back in operational time.

That additional capacity means the team can spend less time managing administration and more time supporting existing partners and developing new partnership opportunities.

With event information held centrally, the team has also created a stronger operational foundation for future events. Information can be updated rather than recreated, reducing the amount of repetitive work required when preparing for the next BTC Prague.

For partners, the benefits are equally clear. Instead of searching through email chains or relying on separate documents, Eventflow provides one organised source of event information.

Partners have responded positively, describing the platform as one of the most organised event operations tools they have worked with.

“Eventflow has already exceeded our expectations and we can absolutely see the potential of using it for BTC Prague and other events.”

Flexibility Without Losing Visibility

One unexpected benefit has been Eventflow’s ability to accommodate the way BTC Prague’s partners actually work.

As well as being available to preferred suppliers, Eventflow also allows any external contractors to use the platform. This enables BTC Prague to offer partners full flexibility over their own suppliers without losing visibility across event operations.

The introduction of Eventflow’s AI assistant ahead of the event provided another useful addition to the platform, helping users access information and support more easily.

For the BTC Prague team, the technology is also backed by direct access to the people behind it.

“We know the Eventflow team are really accessible and helpful. We’ve been able to feed back some of the features we’d like to see expanded and they have been really open to hearing our thoughts and opinions.”

Eliška Martiníková, COO, BTC Prague

Looking Ahead

Following its first implementation at BTC Prague in 2025, Eventflow has demonstrated how a central operational platform can support an event of significant scale and complexity.

For BTC Prague, the value goes beyond replacing spreadsheets and reducing emails. By creating a single operational hub for partners and the event team, Eventflow has reduced administrative workload, improved visibility and created more capacity for higher-value partner support and relationship management.

Just as importantly, it has helped BTC Prague provide its 100+ partners with a more organised and professional experience.

With the foundations now in place, the team can build on the platform for future events rather than recreating operational processes from scratch, helping make a complex event simpler to manage while maintaining the flexibility its partners require.
